# Planning and purchasing

> Booking calendar, shortage forecast, special tools by vehicle and purchase requests: know when each tool is free and what is missing.

The timing belt on the Golf is booked in for Thursday – but will the locking tool be there? In the Tulz booking calendar every tool is a row and every day a column: on loan, reserved, on a planned pick list, at the calibration service or under repair. A tap on a free day reserves it. The shortage forecast shows double-booked days before two mechanics stand in front of the same empty drawer in the morning.

When a job comes in, the vehicle is enough: enter brand, model or engine code and Tulz lists every matching special tool with its storage location – and puts the free ones straight onto a pick list. Whatever keeps going missing, employees report as a purchase request. Colleagues add their support, and the foreman decides with figures instead of gut feeling: the purchase calculator shows whether the tool pays off – and from which use it has paid for itself.

## How it works in the workshop

1. **Plan** – see in the booking calendar when a tool is free and reserve the right day ([Booking calendar](https://tulz.work/en/help/article/booking-calendar)).
2. **Sort out shortages** – conflicts appear above the calendar and reach the tool crib and foremen as a daily notification ([Shortage forecast](https://tulz.work/en/help/article/shortage-forecast)).
3. **Prepare the job** – under "By vehicle" enter brand, model or engine code and put the free tools on a pick list with the job number, or plan them for the appointment ([Job by vehicle](https://tulz.work/en/help/article/job-by-vehicle)).
4. **Report what is missing** – "Request a purchase", colleagues press "I need it too", the foreman adds the request to a purchase order ([Purchase requests](https://tulz.work/en/help/article/purchase-requests)).
5. **Calculate** – enter the price, uses per month and benefit per use: Tulz shows after how many months the tool pays for itself and saves the calculation to the request ([Purchase calculator](https://tulz.work/en/help/article/purchase-calculator)).

## What comes with it

- Accessories and "often used together": counterhold, adapter and setting tool are suggested at check-out ([Accessories](https://tulz.work/en/help/article/accessories-and-often-used-together))
- Bookings per tool right on the tool page, with every appointment for the next four weeks
- Tools at other sites and in the workshop network in the same vehicle search
- Matching job templates for the vehicle, turned into a pick list with one click
- Purchase requests with reason, number, vehicle and link – every supporter hears when the tool has arrived
- Number of undecided requests in the menu of foremen and the tool crib
- Purchase calculator with chart, "If things turn out differently" and clues from your own loans – also for a second unit when there is a bottleneck

## Who it is for

Workshops where appointments are fixed the day before and special tools are scarce – and foremen who want to know which tool is really missing before they order.

## Frequently asked questions

### How does Tulz know which tool fits which vehicle?

From the vehicles stored on the tool: brand, model and engine code. The more complete these details, the more precise the list; spellings such as VW and Volkswagen are recognised automatically.

### How do I know whether a new tool pays off?

In the purchase calculator you enter the price, uses per month and the benefit per use – time saved times hourly rate, rental fee or subcontracting, extra revenue. Tulz immediately shows after how many months and from which use the purchase pays for itself and what is left at the end of its useful life. How often a similar tool was lent out or fetched elsewhere is shown alongside as a clue. The calculation can be saved to the purchase request: all employees see the request and can back it, while foremen, the tool crib and administrators see the calculation.

### What happens if two mechanics need the same tool on the same day?

The shortage forecast shows the conflict in good time, with names and day. The reservation can then be moved, the tool handed over or a second unit requested from another site.
