# Tools on loan from outside

> Issue special tools from the importer, dealer or a rental service like your own – with loan slip, return deadline, reminder and return shipment.

For a single repair the importer lends the special tool, the neighbouring workshop the engine support bridge or the rental service the transmission jack. Such tools do not belong to the workshop – yet they are issued, change hands and must go back complete and on time. That is exactly where they tend to get lost: in a corner of the hall, in a car boot, in the wrong cabinet.

Tulz treats borrowed tools like your own and remembers what comes on top: who lent it, the loan slip number, the contact person and when it has to go back. When the deadline gets close, Tulz lets you know in good time.

## How it works in the workshop

1. **Create** – create the tool as usual and enter lender, contact, loan slip and return deadline in the *Tool on loan from outside* section ([Tools on loan from outside](https://tulz.work/en/help/article/external-loan-tool)).
2. **Label and location** – print the label, assign a storage location; from now on it is scanned like any other tool ([Printing labels](https://tulz.work/en/help/article/print-labels)).
3. **Issue and take back** – the list and the tool page show the note "Loan tool – back by …", yellow from seven days before the deadline, red afterwards.
4. **Send it back** – after the last return enter the tracking number on the tool page and choose *Returned to lender*; the history is kept.

## What comes with it

- *Loan tools* panel on the dashboard: what has to go back within the next 14 days, with lender and current holder
- Daily reminder to the workshop foremen by notification and e-mail
- The return shipment is only possible once the tool has been taken back
- Loan slip and delivery note as documents on the tool ([Documents](https://tulz.work/en/help/article/documents))
- Report damage with a photo – as evidence towards the lender ([Reporting damage](https://tulz.work/en/help/article/report-damage))

## Who it is for

For workshops that regularly borrow special tools from the importer or a tool pool, and for businesses that would rather rent than buy for rare repairs. How to organise special tools so that everyone finds them is described in the guide [Organising special tools](https://tulz.work/en/guides/organising-special-tools).

## Frequently asked questions

### Do borrowed tools count in the stocktake and the reports?

While they are on the premises, yes – they appear in stocktaking, search and utilisation like your own tools. After the return shipment they are retired and no longer count as stock.

### What happens if the return deadline is extended?

Simply enter the new date on the tool. The note, the dashboard and the reminder follow it immediately.

### Can we also lend tools to other businesses?

That is what the workshop network is for: partner workshops see shared tools, send a request and receive them with a pick list.
