# Data access report and deletion period for former employees

### Data access report

If an employee wants to know what is stored about them (access under Art. 15 GDPR), one click is enough:

- **Administrator**: *Users → edit employee → Data access report*
- **Everyone for themselves**: *My profile → View all data stored about me*

The report contains master data, passkeys and signed-in devices, the sign-in log, NFC cards, qualifications, loans, pick lists and signatures, reservations, damage reports, inspections carried out, watch requests, notifications, app devices, support requests, ideas and their own entries in the activity log. *Print / save as PDF* or *As a file (JSON)* to pass it on. Password, passkey keys and access tokens never appear in plain text – only the fact that they exist.

### Deleting former employees automatically

Under *Settings → Workflows → Permanently delete former employees after* choose a period (6 months to 5 years, default: never). It is counted from deactivation. Once the period is over, Tulz deletes the employee permanently – just like *Delete permanently* by hand: name, username, email, staff number, passkeys and NFC cards are gone, loans and inspections remain in the history as "Former employee".

Employees with open loans are kept until the tools are back. Anyone who is reactivated starts again from the next deactivation.
