The boss does not want to look into Tulz every day – but does want to know once a month how things stand with the tools. The Monthly report summarises the previous month on two to four pages as a PDF and arrives by email at the start of the month.
What it contains
- Key figures: loans, late-return rate, active staff, tools in stock, new tools, inspections carried out, damage reports and repair costs – with several sites also broken down by site
- Most used tools with loans and loan days
- Shrinkage: loss and theft reports with value, who had the tool last, what is still open in total
- Damage and repair costs of the month
- Inspection status: overdue inspections and what falls due in the new month
- Care & maintenance: overdue maintenance tasks
- Bottlenecks: where a second unit pays off and what is repeatedly requested elsewhere
- New purchases: purchase orders delivered in the month and newly created tools with their value
- Open purchase requests from staff with their votes
Step 1: Switch it on
- Administration → Settings, section Monthly report (below Reminders).
- Tick At the start of each month, email a PDF report on the previous month.
- Enter the Recipients – several email addresses separated by commas, e.g. management and workshop manager. If left empty, the report goes to all administrators with an email address.
- Save settings.
The monthly report is switched off by default. It requires the Reports module.
Step 2: Sending
On the first of the month the first cron job run sends the report on the previous month – once per month, even if the cron job runs several times. If the server was down on the first, Tulz catches up during the first week. Each recipient gets the report and the email in their language (the staff member's profile, otherwise the business's default language). The email lists the key points at a glance, the PDF is attached. Settings → Monthly report shows the month that was last sent; every dispatch is recorded in the log.
Download at any time
Under Reports you will find Monthly report (PDF) at the top right with a month selector – the current month (so far) and the last twelve. The report covers the site currently selected at the top; head office with "all sites" gets the whole business broken down by site.
Good to know
- Inspection and maintenance deadlines show the situation when the report is created, all other figures the selected month.
- Sending by email requires the platform's email dispatch to be set up – just like the daily reminders.
