Reordering missing parts of a tool set

Help › Administration

If a tool set comes back with parts missing, it is set to Incomplete – and the missing bit or adapter has to be reordered. Tulz collects all missing parts in the purchase suggestions; on goods receipt the part is booked as delivered to the set, and the set is ready for use again.

How parts get onto the list

On a return with completeness check you enter for each part how many are missing. If anything is missing, the tool is set to Incomplete, and on the tool page the Parts table shows the number in the Missing column.

Step 1: Open the suggestions

Tools → Purchase orders → Suggestions. Below the replacements for retired and lost tools you will find the section Missing parts with:

With several sites you see the parts of your site; head office with "all sites" sees all of them.

Step 2: Create the purchase order

  1. Tick the parts you want (all are preselected).
  2. Order selected parts.
  3. Tulz opens Create purchase order with one line per part: description, supplier number (without a supplier number the first OEM number), quantity and a hint naming the set (e.g. WZ-0042) and the OEM numbers. If all selected parts belong to tools from the same supplier, that supplier is already selected.
  4. Add prices, add further lines if needed and Save.
  5. As usual, Order by email and Mark as ordered.

Tip: with several suppliers, tick only one supplier's parts at a time – you then get one purchase order per supplier.

Step 3: Goods receipt

On the purchase order enter the delivered quantity and book the goods receipt. Lines marked Part do not create a new tool: Tulz reduces the number of missing parts on the set by the delivered quantity (never below zero). If nothing is missing afterwards, the set changes from Incomplete to Available – if a damage report is still open, it stays Defective. Anyone who has put the tool on their watch list or reserved it gets a notification.

The message after the goods receipt lists both separately: tools created and parts delivered, plus the sets that are complete again. A purchase order can mix both – for example a new torque wrench and two bits for a set.

Traceability

Every delivery is recorded in the Log and in the tool's Timeline ("Missing parts delivered") with part, quantity and order number. On the purchase order each part line shows which tool it belongs to.
